Down payments
Working with a down payment has several advantages, so the customer makes a commitment. This allows you to ensure that the customer does not simply switch to another party or does not show up. You can also provide a financial buffer through the down payment. If you use payment terms you could ensure that the down payment corresponds to the costs incurred by you, so that these are covered.
How does a down payment work:
In order to use down payments, you will first have to activate online customer payments. After this has been activated you can indicate per appointment type whether a down payment by the consumer is optional or mandatory for that appointment type. You can do this by going to Manage > Appointment type > Edit appointment type, here you can find the down payment function under the tab “Payment”.
Options when setting the down payment:
- None, there's no down payment requested.
- Optional, the customer can decide for himself whether he wants to make a down payment (in combination with the setting 'Pay online'). Hereby it is at least mandatory for the customer to pay the down payment to book the appointment, but the customer can also pay the full amount. If you also want to give the option not to pay online, you also select the option 'don't make an online payment'.
- Mandatory: For this; only select the down payment option. This will then be made mandatory and the consumer can only do the down payment. Without payment, no booking can be made.
Note: it is not possible to only show the down payment option in combination with the 'don't make an online payment' option, however it is possible to only show the down payment as mandatory. If you work with down payments, customers can always choose to pay the full amount in one go if you select both the online payment setting and down payment setting, or be mandated to pay the down payment if only that option is selected.
Below you'll find the setting for an optional down payment:

After booking
After booking, the customer will receive an appointment confirmation, if online customer payments are optional or required, the invoice will also be sent. If the appointment is paid for / paid online, the customer will also receive a receipt.
For you as a company you will see the down payment at the bottom right after you click on the appointment in the agenda (partially paid). If the customer comes to you for the appointment, the remaining payment can be made from the appointment and the down payment amount is deducted from the total price. To do this, click on the details at the bottom right of the appointment. You will need the POS system addition for this (E119,-).
